Transfer of Administration of Funded Projects - Project Grants

All grants funded by the NHMRC are offered in accordance with the Deed of Agreement between the NHMRC and the Administering Institution. The funding includes a requirement for regular administrative activities and reporting.

Procedure for transfer

When a request to transfer the Administration of a funded project from one Institution to another is sought the following procedure should be adhered to:

  • The Chief Investigator A (CIA) should confirm their negotiations to transfer with both the relinquishing and the accepting parties of both institutions
  • The CIA, using the attached proforma, will obtain the necessary signatures from all responsible officers for both parties indicating to the NHMRC their approval for the transfer to take effect.

On completion of the form the CIA is to ensure all the relevant documentation is attached and return to the RAO at the relinquishing institution for submission to the NHMRC.

Electronic transmission of these documents is acceptable. Send them to Grantnet.help@nhmrc.gov.au and mark them 'Attention Continuing Grants'.

Please note: To assist with funding being remitted correctly is it advisable to notify the NHMRC your intention to transfer as soon as practicable.

Deed of Agreement (DOA)

All NHMRC funding for Project Grants commencing from 2002 has been awarded in accordance with Deeds of Agreement. An institution may have one or many funded projects that relate to one DOA, however each research funded project has an independent schedule.

If transfer of administration for a funded project is requested the accepting institution must have a current DOA in place with the NHMRC, if not a DOA must be initiated to effect the transfer. Where a DOA is already in place with the accepting institution, the transfer will take effect following the issue and completion of a new Schedule to the DOA.

All unused funds must be returned to NHMRC for transfer between institutions to ensure all funded projects are correctly accounted. Each institution is responsible to account for all monies remitted to them by the NHMRC. Financial reports are the responsibility of the party to whom they were remitted no transfer of funds between institutions is allowed.
